KarePractice overview

KarePractice is the front-desk and practice-operations app for your organization. It is where non-clinical staff run the day: booking appointments, checking patients in and out, recording intake vitals, managing referrals, handling patient documents, and keeping the practice's people and locations up to date.

Who uses it

Access is role-based. The roles your administrator can assign include Practice Manager, Front Desk Staff, Patient Access Rep, Billing Specialist, Revenue Cycle Staff, Credentialing Coordinator, Program Administrator, IT Support, System Support, and Admin. When you sign in you pick your role, and the left menu shows only the areas that role is allowed to use.

  • Practice ManagementPractitioners, Patients, Teams, Patient Connections, Invite Patients, and Documents (patient files).
  • OrganizationFacilities, Departments, and Practices setup (manager/admin roles).
  • SchedulingCalendar, Appointments, Sessions, Check-in (today's in-person queue), and Referrals.
  • Billing & RCM — Claims, Invoices, Patient Collections, and Payers.
  • Eligibility & Authorization — Eligibility checks, prior authorizations, and credentialing.
  • CollaborateInbox (secure staff messaging), Notifications, and Tasks.
  • SMART AppsApp Gallery for launching approved add-on apps.
  • AdditionalHelp & Support and Settings.

A typical front-desk day

  1. Open Scheduling → Check-in to see today's in-person queue.
  2. Book new visits from Scheduling with New Appointment; register new patients with New Patient.
  3. As patients arrive, click Check In / Arrive, assign a room, and record rooming vitals.
  4. When the visit ends, use Check out to complete the visit, book follow-ups, create referrals, and print the after-visit summary.
