Create and track referrals
Referrals send a patient to another provider or specialty for further care. In KarePractice, referrals are created during patient check-out, and the Referrals page gives you one place to see and search everything that's been referred.
Before you start
- You need referral access (Front Desk Staff, Patient Access Rep, Practice Manager, or Admin).
- To create a referral, the patient must have an active visit today — referrals are made in the check-out flow on Scheduling → Check-in.
- To track referrals, go to Scheduling → Referrals in the left menu.
Steps
Create a referral (during check-out)
- On Scheduling → Check-in, click Check out on the patient's card.
- Move to the Referrals step of the wizard.
- Choose the provider to refer to from your practice's list, enter the Specialty / service (required), add the reason, and set urgency: Routine, Urgent, or ASAP.
- Click Add referral. You can add several before finishing check-out. Each referral is listed on the after-visit summary the patient takes home.
Track referrals
- Open Scheduling → Referrals. Each row shows the patient, who they were referred to, the specialty or service, the reason, urgency, status (such as active or completed), and the date.
- Use the search box to find a referral by patient, provider, specialty, or reason.
- Use the urgency filters (All, Routine, Urgent, ASAP) to focus on what needs attention first.
Tips / Troubleshooting
- The Referrals page is view-only — to add a referral, use the check-out flow.
- New referrals appear at the top of the list (newest first). Use the refresh button if you don't see one you just created.
