Record rooming vitals and assign a room

After a patient is checked in, place them in a room and capture their intake vitals so the provider has fresh numbers when the visit starts.

Before you start

  • The patient must already be Arrived or In Progress in the queue at Scheduling → Check-in — the room and vitals controls only appear after check-in.
  • You need check-in access (Front Desk Staff, Patient Access Rep, Practice Manager, or Admin).

Steps

Assign a room

  1. On the patient's card, open the Assign room… dropdown.
  2. Pick a location: Waiting Room, Exam 1, Exam 2, Exam 3, or Procedure.
  3. The choice saves automatically — a confirmation appears (for example, "Jane Doe placed in Exam 2") and the card shows a Room: badge. To move the patient, just pick a different room.

Record rooming vitals

  1. On the patient's card, click Vitals.
  2. In the Rooming Vitals dialog, confirm the Recorded at date and time (it defaults to now).
  3. Enter any of: Systolic BP, Diastolic BP, Heart Rate, Temperature, SpO₂, Respiratory Rate. Fill in at least one — leave the rest blank.
  4. Add an optional Note (for example, "Taken at check-in by front desk; patient at rest.").
  5. Click Save. The dialog shows how many readings are ready before you save, and a confirmation appears afterward. The vitals are attached to this visit and appear in the after-visit summary and the patient's chart.

Tips / Troubleshooting

  • "No active encounter for this visit — room not persisted" — the visit record isn't ready yet. Check the patient in first (or retry check-in), then assign the room again.
  • Only numeric values are saved; blank or non-numeric fields are skipped.
