Check out a patient and close the visit

Check-out closes today's visit and handles the wrap-up in one guided flow: complete the visit, book a follow-up, create referrals, and print the after-visit summary.

Before you start

  • The patient must be Arrived or In Progress on Scheduling → Check-in.
  • You need check-in access (Front Desk Staff, Patient Access Rep, Practice Manager, or Admin).

Steps

  1. On the patient's card, click Check out. A four-step wizard opens. Every step is optional except completing the visit — use Next, Skip, and Back to move between steps.
  2. Step 1 — Complete visit. Click Complete visit to mark the appointment finished and close the visit record.
  3. Step 2 — Follow-up. If the provider wants the patient back, pick a preset (2 weeks, 1 month, 3 months) or Custom date, adjust the time and reason, then click Book follow-up. Choose None to skip.
  4. Step 3 — Referrals. For each referral: choose the provider to refer to, pick or type the Specialty / service (Cardiology, Dermatology, Orthopedics, and more), add a reason, set urgency (Routine, Urgent, or ASAP), and click Add referral. Repeat for multiple referrals, or skip.
  5. Step 4 — After-visit summary. Review the summary — diagnoses, medications, vitals, plus the follow-up and referrals you just created. Click Print / Save PDF to hand the patient a copy.
  6. Click Finish check-out. The patient's card moves to Completed, and the confirmation notes anything you booked (for example, "Checked out — follow-up booked, 1 referral").

Tips / Troubleshooting

  • If you skip straight to Finish check-out, the visit is still completed automatically — the completion step always runs.
  • "Follow-up must be in the future" — check the date and time you entered.
  • If printing is blocked by a pop-up blocker, allow pop-ups for the app and click Print / Save PDF again.
