Approve patient connections and invite patients

Patients with a CollabKare account can link their personal health record to your practice. You can approve requests patients send you, and you can invite your existing patient roster to connect — one at a time or in bulk.

Before you start

  • You need practice-management access (Front Desk Staff, Practice Manager, or Admin — check with your administrator if you don't see these menu items).
  • In the left menu under Practice Management, use Patient Connections (approve requests) and Invite Patients (send invitations).

Steps

Approve or reject a connection request

  1. Open Practice Management → Patient Connections. The Pending Patient Connections page lists patients who've asked to share their records with your practice. Click Refresh to pull the latest.
  2. Review the request, then click Approve to accept it. The patient is added to your practice and receives a confirmation email.
  3. To decline, click Reject, optionally enter a reason, and click Confirm Reject. The patient is notified.

Invite patients (single or bulk)

  1. Open Practice Management → Invite Patients.
  2. In the Patient roster box, paste email addresses — one per line. You can add a personal note after a comma (for example, patient@example.com, Welcome to our practice). Lines starting with # are ignored.
  3. Optionally set a Default note used for rows without their own note; it appears in the patient's email.
  4. Check the "patients ready" counter, then click Send invites. Invitations go out one by one — a large roster takes a few minutes.
  5. Review the Results panel and per-row outcomes: Sent, not on CollabKare yet, already connected, or error.

Tips / Troubleshooting

  • Patient not on CollabKare yet? The invite can't be delivered. Click Copy not-on-CollabKare list and ask those patients to register first, then re-send.
  • Duplicates are safe — patients who are already connected or already invited are simply flagged, not re-invited.
