Manage the day's schedule
The Scheduling page is the practice-wide view of every provider's appointments. Use it to review the day, mark visits complete or no-show, cancel bookings, and keep the calendar accurate.
Before you start
- You need appointment access (Front Desk Staff, Patient Access Rep, Practice Manager, Billing Specialist, or Admin).
- Go to Scheduling → Appointments or Calendar in the left menu — both open the Scheduling page.
Steps
- Pick a tab at the top of the page:
- Calendar — a month view of all providers' appointments, color-coded by provider. Use the arrows to move between months.
- Appointments — a filterable list of every booking with actions on each row.
- Providers — side-by-side provider schedules and utilization.
- Today's Queue — today's visits at a glance.
- Settings — availability configuration (manager roles).
- On the Appointments tab, filter by status (all, confirmed, completed, cancelled, no-show) and search to find a booking.
- Update a booking with the row actions:
- Complete — mark the visit as done.
- No-Show — record that the patient didn't arrive.
- Cancel — opens a Cancel Appointment dialog where you can enter a reason; click Cancel Appointment to confirm, or Keep to back out.
- Watch the stat cards (Today, Confirmed, Completed, Providers, This Month) and the "new bookings in the last 24 hours" banner to stay on top of changes. Click View all on the banner to jump to recent confirmed bookings.
Tips / Troubleshooting
- Day-of arrival work (checking patients in, rooms, vitals, check-out) happens on Scheduling → Check-in, not here.
- For tele-visit appointments, the row shows a video action for joining or starting the call when the visit is due.
- Use the refresh button next to New Appointment if the list looks stale.
