Enter a charge and create a draft claim

Use this when a service was not captured from a note, and when approved professional charges are ready to go to a payer.

Enter a charge by hand​

  1. Open Billing & Claims → Bill a visit (or My Coder in the patient's chart).
  2. Choose the patient's encounter, the CPT code, units, any modifiers and the diagnoses.
  3. Click Send to charge review. The charge goes to the review queue — it is not billable until a reviewer approves it.

Create a draft claim​

  1. Open Billing & Claims → Charge review and filter Approved.
  2. Tick the approved charges for one patient that belong on the same claim.
  3. Click Create draft claim.

CollabKare builds a draft professional claim: diagnoses from all selected charges in order, each line pointing at its diagnoses, modifiers such as GC carried over, and the patient's active coverage attached. The selected charges become Billed and cannot be added to another claim.

Tips / Troubleshooting​

  • "Already on a claim": the charge was billed before.
  • "Facility charge": room days and other hospital charges belong on the hospital bill, not a professional claim.
  • Charges from different patients cannot go on one claim.
