Work incoming orders

Accept, process, and complete the prescriptions and orders that provider organizations send to your organization.

Before you start

  • Sign in with a fulfillment role (Pharmacy, Lab, Radiology, Home Health, Rehab, Nutrition, and similar). Program Administrators can view the queue but not act on orders.
  • In the left menu, open Fulfillment > Incoming Orders.

Steps

  1. Review the counters at the top — Pending, Processing, Fulfilled, and Total — to gauge your workload.
  2. Find the order you need. Use the search box (Search by item, patient, or provider...), the type filter (Medications, Lab Tests, Referrals, Procedures, Home Health, Rehabilitation, Nutrition), or the status filter. The default Actionable view shows only orders that still need work.
  3. Check the priority. Orders marked URGENT, ASAP, or STAT carry a colored badge and should be handled first.
  4. Act on the order using the buttons on its row, which follow the order's life cycle:
    • New order: choose Accept to take it, or Hold if you cannot start yet.
    • Accepted: choose Start Processing when work begins.
    • Processing: choose Results Ready (lab), Ready for Pickup (medication), or Mark Complete (other services).
    • Ready: choose Dispensed / Shipped (medication) or Delivered to Patient.
  5. To see full details, select the arrow at the end of the row. The order page shows Patient & Provider, Clinical Details (dose, specimen, body site, and so on), the ordering clinician's digital signature, and a Status History timeline of every step.
  6. On the order page you can also Accept or Reject a new order. Rejecting requires a written reason, which is sent back with the order.
  7. For accepted orders, use the Fulfillment Actions section on the order page — it shows steps specific to your service type (pharmacy dispensing, lab results, imaging, home health, rehab, or nutrition).

Tips / Troubleshooting

  • Each action records a note in the Status History, so the ordering provider can see who did what and when.
  • If a completed order disappears from your list, switch the status filter from Actionable to Fulfilled or Delivered.
  • Use Refresh at the top right to pull in newly routed orders.
